This is a long-term, full-time role in our Anniston office for someone who wants to grow with a collaborative, respectful, and professional team.

About the Role

This role is the hub of our Anniston office. You will handle probate and estate administration paperwork, meet with prospective probate and Medicaid clients, and coordinate estate planning, probate, and Medicaid files from intake through signing. You will work closely with our paralegal in the Birmingham office, making sure he has everything he needs to draft, and with the attorney to keep every file moving.

Key Responsibilities

  • Draft probate and estate administration documents, file with the probate court, and track court deadlines

  • Coordinate estate planning, probate, and Medicaid files so every matter moves through the pipeline on time

  • Act as liaison between the attorney and the Birmingham paralegal, making sure all client information is gathered before drafting begins

  • Meet with prospective clients for probate and Medicaid consultations

  • Coordinate and take part in signing meetings, including serving as notary or witness

  • Draft select estate planning documents, including powers of attorney, advance directives, deeds, wills, and trusts

  • Gather client financial records for Medicaid applications and follow up on missing items

  • Help fund trusts by recording deeds and sending beneficiary designation and account retitling letters

  • Open, scan, and close files in Clio, maintain the attorney's deadline calendar, and assist with billing as needed

Experience and background:

  • High school diploma or equivalent required; paralegal certificate not required

  • 1 to 3 years of probate or estate administration experience as a legal assistant or paralegal required; estate planning or Medicaid experience is a plus

  • Familiarity with Alabama probate court forms and procedures preferred

  • Strong Microsoft Word skills, typing accuracy, and proofreading

  • Experience with Clio, Lawmatics, or WealthDocx is helpful, and training will be provided

Must-haves:

  • Alabama Notary certification preferred, or willingness to obtain with firm support

  • Ability to manage multiple matters and shifting priorities effectively

  • Professional phone presence and clear, compassionate communication with clients

  • Comfortable meeting with prospective clients and families, often during difficult times

  • Dependable, well organized, and committed to confidentiality

Why This Role Stands Out

  • Meaningful work helping families during important and often emotional life transitions

  • A firm known for excellent client service and strong client feedback

  • Collaborative, respectful, and professional office culture

  • Training provided on the firm’s legal and drafting software

  • Room for growth with a supportive team

Compensation and Benefits

  • Salary: $50,000 to $55,000, commensurate with experience

  • Retirement plan launching this year

  • Free parking and reimbursement for travel and expenses

  • Paid holidays, paid time off, and sick time
